  • Purpose and Scope

    Provides essential, routine but varied administrative duties for a Project Graduation high school site including copying, filing, tabulating information, answering phones, distributing mail, composing letters or memos and emailing parents or district personnel.

    Essential Job Functions

    1. Performs a variety of routine but varied administrative duties in support of the Project Graduation program site including but not limited to copying, filing, processing, faxing, tabulating information, answering phones, distributing mail, and emailing parents or district personnel.
    2. Composes or prepares routine correspondence independently or from oral instructions. Types letters, forms, correspondence, reports, memoranda, legal documents, presentation material, records, requisitions and other materials from straight copy, rough drafts or oral instructions. Proofs and verifies accuracy and completeness of documents.
    3. Prepares, maintains and disseminates regular, specialized and technical letters, reports and records such as attendance, grade, progress, discipline, excused absences, or parent, staff and district communication. Retrieves reports, letters, emails and records as necessary.
    4.  Performs research, collects and compiles information, calculates and/or tabulates data to complete reports. Inputs information into computerized database and generates a variety of reports and lists. Prepares graphic presentations and charts as assigned.
    5.  Participates in a variety of school office functions such as enrollment and attendance. Writes late slips for students. May contact parents and guardians to verify absences, regarding student pick up, attendance, grades and behavior.
    6.  Maintains confidentiality on all business matters, or student and staff records.
    7.  Greets students, teachers, staff, and parents. Opens the door, greets and assists visitors. Answers the telephone, provides accurate information to callers and/or forwards calls to appropriate personnel and takes messages as needed.
    8. Receives and responds to inquiries, requests for assistance and concerns from students, parents, staff, and other District departments. Disseminates information to the public such as responding to information requests, or explaining established district and Project Graduation rules and regulations.
    9.  May assist teachers with preparing classroom materials by duplicating, collating, stapling, binding and laminating various materials. May assist Principal in planning and implementing various school programs, activities and services as assigned.
    10. Performs other related duties as assigned or directed.

    Minimum Qualifications

    Requires High School diploma or GED and two (2) years of clerical, administrative or record/data keeping experience.  College level English, writing, computer and math courses preferred.  Four (4) years of progressively responsible clerical, administrative or record/data keeping experience preferred.

    Knowledge, Skills, and Abilities

    • General knowledge of office procedures and equipment. Adheres to office policies and procedures. Asks questions about unusual situations. Suggests ways to improve efficiency and promote quality.
    • Ability to use time efficiently. Completes administrative tasks correctly and on time. Plans for projects that take longer to complete. Shows some initiative.
    • Ability to follow detailed or complex instructions. Good attention to detail. Checks work for accuracy and completeness.
    • General problem solving skills, good judgment and knows when to ask for help with unusual problems.
    • Ability to compile and summarize information to prepare reports.
    • Treats people with respect. Good communication skills with the public, students and staff. Ability to maintain working relationships even in difficult situations.
    • Good proficiency level skills in business English, grammar, spelling, and punctuation. Corrects own work for spelling, grammar and punctuation.
    • Ability to politely answer unusual questions from the public, parents, students and staff about district and Project Graduation rules and policies.
    • Ability to use computer and basic level skill using Microsoft Excel, Outlook, and Word.
    • Basic math skills including addition, subtraction, multiplication and division.
    • Ability to keep all sensitive information confidential and private.
    • Keeps commitments and ethically upholds school system values.

    Physical Requirements and Working Environment

    Physical Demands: Requires sedentary work involving standing or walking for brief periods, exerting up to 10 pounds of force on a regular basis; and some dexterity in operating office equipment; must be able to use hands and fingers

    Unavoidable Hazards:  The position is exposed to no unusual environmental hazards.

     

    Sensory (ADA) Requirements: The position requires normal visual acuity and field of vision, hearing and speaking abilities.
